Reconcile an example invoice, identify the reason for a delay and prepare a billing-readiness or receivables brief.
The work is finished. Why is the money still waiting?
AI Training for Finance and Accounts Teams
At a glanceAI training for finance and accounts teams helps staff connect completed work, invoice requirements and payment records. Together we build a billing-readiness check that identifies missing approvals, disputed items and the person responsible. The team learns to trace each exception to its source and review the output before acting on it.
Your accounts & finance build Build a billing-readiness check that shows missing documents, disputed items and who resolves them. Staff reconcile each output with the original record and retain unresolved amounts as exceptions rather than inventing a matching transaction.
I-104 has 2,400 outstanding. The customer has asked for a PO reference.
Route the question to sales.
Ask the account owner to verify the customer reference. Keep the balance outstanding.
What the company brain knows
Resolve invoice exceptions before routine collection. A corrected reference is not a payment.
Accounts approves any invoice change.
Illustrative accounts & finance output · staff review requiredAI Training for Finance and Accounts Teams: what you build
| Exercise | Bring | Keep |
|---|---|---|
| Ready to invoice | Delivery evidence, purchase orders and terms | A list of missing billing documents |
| Exceptions | Disputes, invoice status and responsible teams | An owner and source for each blocker |
| Payment review | Invoice references and receipt records | A reconciliation checklist for staff review |
Which accounts workflow should you choose?
Choose billing readiness when invoices cannot be issued because evidence is missing. Choose exception tracking when disputed items have no owner. Start with reconciliation when receipts cannot be matched reliably. These are different problems and need different source records.
Ready to invoice: what changes for your team?
Where it gets stuckFinished work remains unbilled because the milestone evidence or PO requirement is unclear
What you learn to buildMatch completed-work evidence to the approved billing terms and surface missing items such as a PO.
Where it gets stuckAn overdue balance and a disputed invoice are treated as the same follow-up
What you learn to buildSeparate due status, recorded dispute, receipts and missing documents so the finance owner can choose the right next action.
Where it gets stuckA large contract value is mistaken for cash received or profit earned
What you learn to buildKeep contract value, invoices, receipts, actual costs and labelled forecasts distinct in the review.

Follow the decisions.
Inspect fictional delivery, invoice and receipt records to find what is preventing billing or reconciliation. The examples use SGD and omit tax. This demonstration makes no ledger entries, initiates no payments and does not represent measured collections results.
- Match delivery and invoice
- Check billing evidence
- List reconciliation exceptions
- Route to the accounts owner
Which open invoices need collection, correction or a conversation?
I-104: document issue first
- Balance check
- Invoice 4,800 less allocated receipt 2,400 = 2,400 outstanding.
- Due-date check
- Due 22 October; seven days past due as at 29 October in this fictional example.
- Context
- The customer asked for its PO reference to appear on the billing document.
- Action owner
- Account owner verifies the PO; accounts checks the permitted correction and follow-up.
The team can act on the reason for the delay. No reminder, ledger amendment or collection promise is sent automatically by this teaching example.
Sales handles the customer relationship question. Accounts maintains the balance and determines the correct billing action.
How the workflow prepares this output
- Reconcile balances against allocated payments and credits at the same cutoff date.
- Match an exception to its customer and invoice; hold ambiguous matches for review.
- Prepare a prioritised queue with the reason, evidence, owner and proposed next step.
What work can be invoiced, and what evidence is missing?
P-104: next billing checkpoint
- Contract value
- 12,000; deposit invoice of 4,800 already recorded.
- Remaining contract balance
- 7,200 not yet invoiced in the example.
- Required check
- Delivery must confirm the relevant milestone and supply its agreed acceptance evidence.
- Prepared handover
- Accounts reviews the trigger, customer entity and PO before creating an invoice.
Accounts can see what is ready and what is blocked. The remaining contract balance is neither an overdue invoice nor cash in the bank.
Operations supplies completion evidence. Proposals supplies the accepted terms. The authorised finance user decides whether to issue the invoice.
How the workflow prepares this output
- Map each billing milestone to the accepted agreement and its evidence requirement.
- Check whether an invoice already exists for that milestone to prevent a duplicate preparation.
- Prepare either a billing brief or an evidence request, with the source links attached.
Are we winning work at a cost the business understands?
Forecast contribution review
- Calculation
- 12,000 contract value − 7,500 forecast direct costs = 4,500 forecast contribution.
- Ratio
- 4,500 ÷ 12,000 = 37.5%, before overheads and tax.
- What it does not show
- Realised profit, recognised revenue or current cash available.
- Decision to prepare
- Check a new scope request against the cost forecast before accepting it.
The owner gets a useful commercial question with its assumptions visible. The workflow does not replace the accountant's judgement or the system of record.
Operations checks the effort forecast. Sales or the owner approves commercial changes. Revenue review uses the confirmed cost basis.
How the workflow prepares this output
- Keep forecast costs and actual recorded costs in separate fields.
- Check whether supplier, labour and approved changes are included consistently.
- Explain any variance through the underlying work and prepare questions for the project owner.
Accounts & finance connects to the rest of the business
Work may be complete while billing evidence or a purchase order is missing; meanwhile overdue and disputed invoices need different follow-up. When records and ownership are unclear, cash collection and the next action can wait.
The quote defines billing conditions
Accepted value, payment milestones and changes provide the commercial reference.

How the accounts & finance records fit together
Begin with a redacted receivables export and the relevant contract or account notes. Choose a shared invoice or project ID, a reporting cutoff and a named finance reviewer. A later connection can read approved records on a schedule if the system permits it. Write access, bank transactions, payments and accounting postings are separate controlled actions, not an assumed part of training.
The accounts workflow distinguishes a missing purchase order from a disputed invoice and an unmatched receipt. Each exception needs a source, an owner and a permitted next step.
Hands-on AI training
How ai training for finance and accounts teams works
A repeatable exception-review template, source checklist, internal action brief and documented finance review step.
What to measure afterwardsUnresolved exceptions, missing documents, time to resolve a query and review corrections. Payment collection depends on the customer and commercial situation; it is not guaranteed by the workflow.
See the guided build programme ↗Define the review task
Choose receivables, missing receipts or one budget-exception review. Agree dates, statuses, source fields and what must be escalated.
Prepare the approved records
Check totals, duplicates, missing dates and data permissions. Preserve the original records and show where each item came from.
Build the exception brief
Group the items that need attention, state what is missing and assign the next action. Keep unverified information visibly unverified.
Reconcile and review
Have the finance owner compare the output to the source export, investigate mismatches and approve any communication or accounting action.
Choose support for accounts & finance
Set up one repeatable finance exception review using the agreed records, matching checks, source links and finance approval step.
Choose one billing or reconciliation bottleneck. Confirm the document types, reference fields and accounting review responsibilities before the build. See the available training formats.
Before we build it.
This is workflow training, not accounting, tax or investment advice. The accountant retains judgement. AI does not post entries, approve expenditure, move money or expose finance records to other departments by default.
Does everything go into the shared Brand Brain?
No. Shared definitions and working rules can be reusable while sensitive source records remain restricted. A shared foundation is not shared access to every document.
Can it connect to our accounting software?
We assess available exports and permitted integration options for the chosen task. A live connection is a separately agreed implementation, not a workshop assumption.
Does Brand Brain replace our accounting software?
No. Invoice, payment and journal records stay in the accounting system. The foundation adds business context and review rules so a permitted workflow can prepare useful questions and handovers around those records.
Can the whole team see our accounts?
They should only see information appropriate to their role. A salesperson may need an approved payment-status note without access to payroll, bank records or the full ledger. We define that boundary before the exercise.
Will it make payments or post journals?
Those are not automatic training deliverables. The module prepares reviewable work. Any later transaction or posting workflow needs separate authorisation, controls, testing and a responsible finance owner.
